Job Summary
The Driver Coordinator serves as the primary point of contact between drivers and the dispatch/operations team. This role is responsible for ensuring clear communication, compliance with company policies, accurate documentation, and on-time execution of all assigned loads. The Driver Coordinator actively monitors driver activity, hours of service, appointments, and performance, while escalating issues to the appropriate department when necessary.
Responsibilities
Serve as the first line of communication for all drivers assigned to the fleet.
Answer incoming calls and assist drivers with dispatch-related concerns.
Assist drivers from other fleets when their assigned coordinator is unavailable.
Assist any driver reporting to the dispatch window.
Maintain professional and respectful communication.
Dispatch & Load Management
Coordinate all relays and rescues only after checking in with the immediate supervisor to ensure the plan is the most cost-effective and mileage-efficient solution before execution.
Dispatch drivers northbound and southbound ensuring legal HOS compliance.
Ensure all local loads are delivered and picked up on time.
Track drivers throughout the entire trip.
Notify planners immediately of late loads, breakdowns, or driver unavailability.
Ensure pre-assigned loads are communicated and acknowledged.
Hours of Service & Attendance
Ensure drivers report after their 34-hour reset.
Document reasons when drivers fail to report timely.
Monitor driver availability and HOS compliance.
Tracking & Route Compliance
Monitor routes and investigate out-of-route activity.
Maintain accountability using tracking tools.
Documentation & Compliance
Ensure submission of PODs, scale tickets, and receipts.
Follow up on missing or incorrect paperwork.
Mileage, Deductions & Reporting
Prepare monthly mileage reports.
Add drop fees and late fees to deduction reports.
Policy Enforcement & Corrective Action
Enforce company policies.
Apply corrective action including verbal warnings and write-ups.
Document all actions properly.
Issue Escalation
Relay non-dispatch issues to appropriate departments.
Report driver or coworker issues to supervisor immediately.
Additional Responsibilities
Maintain confidentiality.
Support onboarding.
Participate in training and meetings.
Perform other duties as assigned.
Requirements
Excellent communication skills for clear coordination with drivers and team members across multiple departments.
Ability to manage route driving schedules efficiently while maintaining safety standards at all times.
Prior warehouse experience or logistics background is a plus.
Mclead Software knowledge a big plus.
